Sick Leave is an accrued benefit that provides time off with pay due to personal illness or injury, dental, eye or other physical or medical examinations or treatments by a licensed practitioner, or to care for ill or injured family members, or due to death of a family member.

Eligibility
Sick leave is accrued following one month of continuous service in a qualifying pay period. A qualifying pay period consists of 11 days or more of full pay. For Intermittent employees, a qualifying pay period consists of an accumulations of 160 hours (this can take more than one month to accumulate).
Accrual Rates
The rate at which all employees accrue is eight (8) hours per qualifying monthly pay period. The exact amount of accrual is based on the employee's time base (full time = 8 hours; part time = pro-rate; intermittent = full time rate after a month of qualifying service). There is no limit to the amount of sick leave hours that may be accumulated.
FERP Participants
At the time of service retirement and appointment into the Faculty Early Retirement Program(FERP), the participant may elect to carry up to 48 hours of sick leave from their previous position to their FERP position. FERP employees may accumulate up to 160 hours during their total FERP employment period. If they use any part of the 160 hours, they do not accrue an additional sick leave.
Usage
Sick leave must be used in increments of one-half hour (0.50).
Part-time faculty may use sick leave in any increment as their time base may require it.
Accruals earned after 11 days of pay cannot be used until the first day of the following pay period.

Employees in classifications that are exempt from the Fair Labor Standards Act (FLSA) cannot be docked or have their leave credits charged for a partial days' absence. Use of sick leave or use of a dock may be utilized for the absence of a full day. A full day is whatever the employee's normal schedule is.

Example: If scheduled to work 4 hours on Friday and the employee calls in sick for that day, then 4 hours of sick leave must be charged. However if, for example, a full-time faculty member (or any academic-year classified employee) calls in sick for a day that they have classes, they must charge sick leave until they are available for work. This applies even though the employee may not have other scheduled duties for the rest of their absence.

Sick leave may be used to care for ill or injured "immediate" family members as set forth in each bargaining unit contract (SL 02).

Employees may use their personal sick leave for the death/bereavement of a "significantly close relative" (SL 03). Funeral Leave (FL) is paid leave to attend a funeral for a significantly close relative.

Separations
Employees who separate due to disability retirement may use up their sick leave prior to the effective date of separation, or may use their sick leave to earn service credits.

Upon separation, sick leave cannot be projected and cannot be earned for the period of time covered by a settlement or lump-sum payment.
Return to State Service
An employee (except R03) who returns to any State employment within six months following the date of permanent separation shall be credited his or her previous Sick Leave balance. However, if the employee has been appointed to a class in which sick leave is not accrued, the previously accrued sick leave balance is not available for use until such time as the employee is appointed to a position that is eligible to accrue and use sick leave.

Employees in R03 who return from a separation within ten months are credited with their previous sick leave balance. If an employee is appointed to a classification in which sick leave is not accrued, this provision will not apply.

An employee who transfers between campuses, between the Chancellor's Office and a campus or to or from another State Agency retains the accumulated sick leave credits. The employee is eligible to transfer sick leave credits if sick leave is accrued and used in the same manner.
Attendance Recording
  •  If an employee uses sick leave for themselves, record "SL01" and the number of hours used in the "ERN ID" area of the Time and Attendance Report 672. On the Absence and Additional Time Worked Report (634 ) mark in box 7b "S" and the number of hours.

  •  If sick leave is used for the employee's family, record "SL02" and the number of hours used in the "ERN ID" are of the Time and Attendance Report 672. On the Absence and Additional Time Worked Report (634 ) mark in box 7b "SF" and the number of hours.

  •  In cases where sick leave is used for bereavement, record "SL03" and the number of hours used in the "ERN ID" area of the Time and Attendance Report 672.   [ See Funeral Leave for additional information ] On the Absence and Additional Time Worked Report (634 ) mark in box 7b "SD" and the number of hours.
