Attendance and Leave Accounting :: Hourly Intermittent Attendance

Intermittent payroll attendance consists of hourly rate employees. Paychecks are prepared after the close of the pay period and are based on actual time worked.

Use of leave credits are recorded on the Absence and Additional Time Worked forms (634) and overtime is recorded on Authorization for Extra Hours form (682). Both are submitted to timekeepers at the end of each pay period.

Pay Frequency
Pay days are the 15th of the month following the previous pay period. If the 15th falls on a Saturday, pay day will be on the 14th of the month. If the 15th falls on the a Sunday, pay day will be on the 16th.
General Procedures
Actual time worked must be reported on an Intermittent/Hourly Voucher. Indicate the number of hours worked per day and total at the bottom.

If vacation or sick leave credits are used, they are to be shown on the days the employee is scheduled to work and totaled at the bottom. For holidays, compute the number of holiday pay hours and record the hours on the Total Holiday Credit line. Total the hours to be paid. Leave Credits
Vacation - On the first day of the monthly pay period following the completion of 160 hours of paid employment (time worked in the current and prior pay periods) and hourly employee shall be credited with one qualifying pay period credit of vacation. Thereafter, on the first day of the monthly pay period following additional service of 160 hours, the employee is credited with vacation credit.

If an employee accumulated 160 hours of paid employment in one pay period that qualifies for vacation credit, any hours worked above 160 hours are not carried forward to the next month's credit. Any hours already on the books are carried forward toward the next 160 hours needed to earn vacation credit. Credit shall not be given for more than 160 hours in any pay period.

Sick Leave - After the completion of 160 hours of paid employment within consecutive pay periods, the employee is credited with one day of sick leave. One day of sick leave is given for each additional hours of pay employment. Sick leave credit is given the first day of the pay period following the completion of the required hours. Hours worked in excess of 160 hours in a pay period are not counted or accumulated for sick leave purposes.

Personal Holiday - Intermittent employees are given one (1) personal holiday per calendar year. This is reported in the Total Personal Holiday line. Usage of a personal holiday is based on the number of hours worked added to the hours claimed from leave balances in the pay period in which the holiday is taken.
